Spielwelt German Parents Association Inc (ABN 22 794 868 994) is a not-for-profit organisation providing German-language children’s programs and community activities in Canberra.

This Privacy Policy explains how Spielwelt handles personal information, including information collected through this website.

Some Spielwelt programs use separate enrolment and administration systems. Additional privacy information may apply when you enrol in or participate in a particular program.

When you contact Spielwelt through our website, we collect the information you provide in the enquiry form, such as your name, email address, the program or activity your enquiry relates to, and the contents of your message.

Please avoid including sensitive personal information in a general website enquiry unless it is necessary for us to assist you.

Website enquiries are sent to a central Spielwelt email account and then provided to the Spielwelt representatives responsible for the relevant program or activity. This routing may occur automatically based on information selected in the form or manually by an authorised Spielwelt representative.

We do not ordinarily retain contact-form submissions in the website database.

1.4. Program enrolment and administration

Spielwelt uses third-party services to support the enrolment and administration of some programs.

Depending on the program, these include Google Forms, SmartCentral and the Scouts ACT enrolment platform.

These services may collect additional information required to enrol you or your child in, and administer, the relevant program. Information submitted through these services may be made available to Spielwelt and may also be handled by the relevant service provider in accordance with its privacy practices.

2. Why we collect and use personal information

We may collect, hold, use or disclose personal information where reasonably necessary to:

  • respond to enquiries and requests;
  • direct enquiries to the appropriate Spielwelt representative;
  • administer enrolments, programs, activities and participation;
  • communicate with families, members, volunteers and other people involved with Spielwelt;
  • operate, maintain and protect our website and systems; and
  • comply with applicable legal and organisational requirements.

We aim to collect only the personal information reasonably necessary for the relevant purpose.

3. How information is stored and protected

The Spielwelt website is hosted in Australia.

Website enquiries are transmitted using email infrastructure hosted in Australia and are received in a central Spielwelt inbox before being routed to the appropriate people.

Spielwelt also uses third-party services for some organisational, enrolment and administrative activities.

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure, taking into account the nature of the information and the circumstances in which it is held.

We also take reasonable steps to limit access to personal information to people who require it for their role or responsibilities with Spielwelt.

4. Overseas services

Some third-party services used by Spielwelt operate infrastructure in multiple countries.

Spielwelt’s use of services such as Google and other program-specific platforms may involve information being processed or stored using infrastructure outside Australia.
